Executive Assistant Goa, India | Full-Time

This position is responsible for coordinating outreach efforts across various channels including LinkedIn, email, and other platforms. The candidate will assist the Head of Sales in coordinating business development activities, including setting up meetings, following up with leads, coordinating venue and time details, and ensuring that meetings take place as scheduled. They will be organized, proactive, and detail-oriented, with strong time management skills. The role also involves maintaining accurate records and updating the CRM system to ensure efficient communication and effective data tracking.

Responsibilities

  • Assist with outreach efforts across LinkedIn, email, and other platforms by drafting tailored messages and developing engagement strategies to drive prospect responses
  • Engage and contact prospects, follow up consistently, tweak messages as needed, and ensure timely responses to maintain communication flow
  • Manage and coordinate meeting schedules, confirming details such as venue, time, and stakeholders
  • Facilitate smooth meeting execution by engaging with contacts, confirming attendance, and proactively resolving any last-minute issues
  • Work closely with the Head of Sales to ensure optimal scheduling by resolving scheduling and communication conflicts
  • Take meeting notes and circulate key takeaways and action items to relevant stakeholders promptly
  • Provide stakeholders with regular updates and progress reports to keep them informed
  • Track and update outreach activity by maintaining detailed records and inputting data into the CRM system, ensuring all information is accurate, detailed and easily accessible

Technical Qualifications

  • Experience in an administrative assistant or coordinator role
  • Experience in outreach techniques, including initial contact (e.g., email, LinkedIn), consistent follow-ups, and meeting scheduling
  • Experienced in business communications such as crafting professional, concise, and effective emails tailored for various business contexts to ensure clarity and prompt responses
  • Experience working with multiple stakeholders and team members across various cultures and time zones including US and Europe
  • Proficient in LinkedIn and other social media platforms, comfortable conducting outreach
  • Proficient in data entry and verification within environments like Excel, CRM systems, and other data management tools

Education and Work Experience

  • Bachelor's degree in Computer Science, Information Technology, or a related field is preferred
  • Over 5 years of relevant work experience
